Appraisal Timeline

What is it for and where do I find it?

The Appraisal Timeline shows the progress of an Appraisal that has been prepared for a group of Employees. From here you can keep track on the submissions from each contributor, and view forms for all Employees in detail. The Appraisal Timeline will open whenever a Group- or Organisation-Type Appraisal is selected from the Appraisals List page.

 

Appraisal Title

The title of the Appraisal Cycle is shown at the top of the page.

 

 

Menu options

 

Employees can be searched for in this view. Use the Search for Employee box in the top right corner of the page to filter by the Key Details of Employees, and any Roles they are a member of, in this Appraisal. This will reduce the number of Employees shown in the Timeline to those who match the search terms entered. Using this feature disables the use of the "Cancel this Appraisal" option in the Title menu.

 

Appraisal Timeline

The Appraisal Timeline view is separated into four views for each stage of the Appraisal Cycle. Each of these are accessed through the numbered badges that appear on the Timeline at the top of the screen, with the numbers representing the number of Employees at that stage. A red badge indicates that the due date has passed for this Appraisal stage, and there are still forms at the stage. Select a badge on the Timeline to view a full list of these Employees. Below is an image showing the five available sections in the Timeline, the arrow indicates which section is currently being viewed.

Start > Forms prepared - This badge shows a list of all Employees whose forms need to be prepared by their Manager.

Forms prepared > Forms complete - This badge shows a list of all Employees whose forms require completion by the Employee, Manager or Multirater.

Forms complete > Forms signed off - This badge shows a list of all Employees whose forms require signing-off by the Employee, Manager or Grandparent commenter.

Forms signed off > HR sign off - This badge shows a list of all Employees whose forms require signing-off by an Appraisals Administrator.

Finished Forms - This badge shows a list of all Employees whose forms have been completed.

 

Timeline table

Each Timeline table is separated into up to four tabs, each showing Appraisal Forms at different Statuses. The number of forms in each tab is shown in a grey badge, and any empty tabs are hidden from view.

Pending Action - Forms in this tab are open and available for update. This tab will not appear in the Finished section.

Completed - Forms in this tab have had all tasks removed and have been Signed-off by an HR Administrator. This tab will only appear in the Finished section.

Cancelled forms - Forms in this tab have been cancelled by the Primary Appraiser, and this action has been confirmed by an HR Administrator.

Cancelled forms pending HR confirmation - Forms in this tab have been cancelled by the Primary Appraiser, and are waiting for an HR Administrator to confirm this cancellation.

Inactive Employees - Forms in this tab cannot be updated due the Appraisee being deactivated or removed from the Command Hierarchy.

 

Within these tabs, each table shows all Employees at that stage, along with details about their Appraisal.

Employee - The full name of the Appraisee. Select their name to view their Form Details.

Appraiser - The full name of the Employee appraising the Appraisee.

Notes - Any notes about this Appraisal form are shown here. This field will state if the Appraisee's User Profile has been deactivated, or if the form has been cancelled along with any explanation provided for the cancellation.

 

Form Details

The Form Details section shows all contributors to the Appraisal form for the selected Employee. with the due dates for each stage shown below the table headers. A grey box beneath the stage indicates that the contributor hasn't completed the stage, and a red box indicates that this stage is overdue for completion. Once a contributor completes the stage, the date at which they completed the stage replaces the box.

As the form progresses, each fully completed stage is shown with its header struck through.

Employees - The first column shows a full list of all the named contributors to the form. More...

Form prepared - Shows the due date for the Manager Sign-off stage.

Form complete - Shows the due date for the Form Completion stage.

Form signed off - Shows the due date for the Form Sign-off stage.

HR sign off - Shows the due date for the HR Sign-off stage.

 

 

Form Details Employee menu options

These options are accessed by selecting the name of the Appraisee in the table.

 

exclamation This Appraisal has been cancelled and resumed

This warning message will show underneath the Appraisal Timeline if the Appraisal Cycle has been Cancelled and Resumed at any point, along with a reason for the cancellation if this has been entered.
